QuickBooks Corner: Keep an Eye on Your QuickBooks Online Usage Limits

QuickBooks logo

Starting October 28, 2019, QuickBooks Online will no longer support accounts that exceed their plans usage limits and will be forced to upgrade to an Advanced subscription.

The usage limits are 250 chart of accounts in the chart of accounts for QuickBooks Online Simple Start, Essentials, and Plus subscribers. That means if you are at one of the listed subscription levels and exceed 250 accounts in your chart of accounts, your subscription will be suspended. Similarly, classes and locations are being limited to a combined 40 for the Plus subscription, and 0 for Simple Start and Essentials. If you are an Advanced user, there are no limits to the chart of accounts or classes and locations.

To check how many accounts are counting towards your 250 limit, follow the steps below:

  1. Select Chart of Accounts from the gear icon in the top right.
  2. Next to the filter field, click the drop down
  3. Select “Counts toward limits”.

You will get a message similar to the below picture:

QuickBooks Online Usage Limits

To manage your usage, you should consider making accounts inactive if they are rarely used.

If you are wondering why only 16 accounts are showing up, when your chart of accounts is over a 100, a few things do not count towards your limit:

  • If they are generated by QuickBooks Online at sign up or from usage of services such as: sales tax, shipping, multi-currency, etc.
  • Generated by QuickBooks Services that you or someone with permissions has connected to your QuickBooks Online account, such as: Intuit Payroll, QuickBooks Online Payroll, etc.
  • Imported into QuickBooks Online from QuickBooks Desktop
